online faxing
Internet Faxing, also known as eFaxing, Web Faxing, Online Faxing, Digital Faxing and Email Faxing is an online service which allows you to send and receive faxes via the internet without the requirement for a fax machine. To receive faxes, they provide you with a fax number which can be a toll-free or local number in any location you want. People can send faxes to this number in the usual way. These faxes are then digitized and forwarded to one or more email addresses of your choosing. There are various ways to send a fax depending on the facilities that the service provider offer. In most cases, you can create an email message with attachments as you normally would, then enter the destination fax number(s) followed by @<service-provider-domain>. For example: 44204453312@faxcompany.com would send a fax to a UK fax machine in London. Once the fax is sent, a confirmation email is delivered to your designated email address(es) and in some cases to your mobile phone or pager as a text message.

Why Use Internet Faxing

Environmentally Friendly - Traditional fax machines require a lot of ink and paper. Even if there is a problem with the fax, a transmission sheet is usually printed telling you what went wrong. With internet faxing everything is via email - event notifications and logs. Also no more printing of Spam Faxes.

Lower Costs - All you pay for Internet Faxing is the monthly fee plus any overage costs if you send/receive more faxes than your package allows. With a traditional fax machine you need: The fax machine, ink, paper, phone line with rental charges, maintenance costs for the fax machine.

Convenience - You are not tied to the fax machine to send and receive faxes. Wherever you can send or receive emails you can also send / receive faxes. That includes to your PDA, at an internet cafe, at a friends house on there home PC or anywhere else.

Easy Distribution - Most Internet Fax providers allow you to setup multiple email addresses to recieve faxes to. So you can get the faxes to everyone involved at the same time with no additional effort.

Always On - Internet Faxes are never busy. Therefore you customers will always be able to send you faxes on the first go - unless their old-fashioned fax machines have a problem of course!

Security - Most providers support powerful encryption techniques and password protection of faxes. Add this to the fact that they are delivered to your email rather than lying around on a fax machine that anyone can access.

Colour - If you are sending and receiveing faxes to / from other people who are also using digital faxing (either internet faxing or a more modern fax machine called a digital sender) then the faxes can be in full glorious colour. This can be a great advantage.

Easy Monitoring - You can view logs of what, when and where faxes are sent and received at any time online.

How to choose an Internet Fax Provider

  1. Start by working out your requirements:

    Local or Toll-free numbers
Do you require your fax number(s) to be local, toll-free or both? Do you have clients in different cities or countries who would appreciate being able to send faxes to local area number? Many providers allow you to have multiple numbers associated with your account - at an extra cost. This means you could have a number in each city or country you do business with.

    Volumes
How many faxes do you currently send and receive every month. This is important as different providers offer different volumes as standard. All providers charge an 'overage' cost for each fax page once the monthly allowance has run out. Also some providers have special packages and services for larger requirements.

    Provider Market Share
How big is the provider in the marketplace? How long have they been providing fax services?

    Web Access
Is there a web portal for managing faxes?

    International Charges
If you are sending faxes to other countries, the charges vary greatly from provider to provider.

    Supported Formats
Does the provider support attachments for your preferred applications? Most providers support TIFF, PDF and plain text but not all support other popular packages such as Microsoft Office, OpenOffice, Adobe, etc.

    Included Software
Does the provider require you to install and use software to send and receive faxes? If so, do the benefits outway the additional use of resources on your PC?

    Fax Spam
How does the provider handle fax spam

    Customer Care
What is there customer care like? Do they offer toll-free telephone support? Is it in your local language? Do the offer email support, live chat, demos, tutorials, online help? How quickly do they resolve issues?
  2. Gather a list of available providers
  3. Compare and review each provider
  4. Collect Consumer Comments - What do other people say about your chosen provider?

As you can see from this list, there are a lot of questions to ask before settling on an Internet Fax Provider. That's where we come in. We do all the legwork for you. As part of the review process, we interview each provider, sign up for one of their packages and use the package for at least one week. We also try to get one or more of our clients to signup for a trial and get them to report their findings back to us. Once all this data is collected, we turn it into a full review and determine the provider's ranking so we can slot them into the comparison chart.
